Instructions for Setting up & Using CAYUSE

Cayuse delivers a hosted Web solution created specifically for Grants.gov and the complex federal grant proposal process. Cayuse424 helps organizations of all kinds collaborate on, manage, and apply for federal funding. Streamline proposal development and protect research funding with the industry's leading Web-based proposal development platform.

Log in

  1. Go to http://utb.cayuse424.com
    A. Username - initials + ID number, ie AB0123456
    B. Password - request one by clicking on the link below the following screenshot.

Create your Profile


Once you are logged in, please follow the steps below:

  1. Click on the People tab at the top of the page.
  2. Click on the link ‘show all’ for a list of all UTB employees, search for your name.
  3. Click on the link to your name.
  4. Fill out all fields under General Personal Information and Institutional Association.

Note: You do not need to add a Biosketch at this time.

Add a "Delegate"


Once you are logged in, please follow the below steps:

  1. Click on the People tab at the top of the page.
  2. Click on the link ‘show all’ for a list of all UTB employees, search for your name.
  3. Click on the link to your name.
  4. Click Routing Profile in the lower left hand corner of the page.
  5. Click on the second pull down menu, and add the person who reviews grants for you or signs grants in your absence.

Note: Assigning a delegate in your absence is crucial to the review and approval process of all grant submissions.  Unlike the paper Proposal Transmittal Form (PTF), the CAYUSE system will not allow submission unless all delegates have approved the application.

Approve a Grant Proposal (Routing Chain)


Administrators can now approve grants electronically rather than signing a paper PTF. Once a grant is ready for your approval you will receive the following email:

  1. Click on the individualized link provided in the email.
  2. Login to CAYUSE.
  3. Click on the items on the left side of the screen to review each section of the grant proposal.
  4. Click on Routing and Approval in the lower left hand corner once you are ready to approve the grant proposal.
  5. Click on the box to the left of your name.
  6. Click Approve in the pop-up box. 

NOTE: One of the great features of CAYUSE is that you can review grant proposals as soon as the routing process starts. To review a grant proposal before it is your turn to approve it, login to CAYUSE and click on the Routing tab at the top of the page. This will give you significantly more time to review grant proposals.
